1. Personal Information We Collect
We collect personal information across two primary contexts: through interactions with our public website and through the delivery of engineering services to our clients.
Website Personal Information: Information you voluntarily provide when you submit an inquiry, book a workflow audit, or communicate through our contact form. This may include:
- First and last name
- Business email address
- Company name and job title
- Operational workflow descriptions and project requirements submitted in inquiry text
You may contact us anytime at support@thecloudark.com to request the review, update, or deletion of your Website Personal Information.
Services Personal Information: Information provided by or on behalf of a Client that resides on Client or third-party systems and environments, processed by CloudArk solely to deliver contracted Services. This information relates strictly to authorized Client personnel and operational workflows, and may include:
- Representative names and business email addresses
- Authorized system user IDs and role designations
- Operational log entries and business records processed through scoped automated workflows
CloudArk processes Services Personal Information strictly under the instructions of our Clients and the terms of the applicable Service Agreement.
2. Technical & Usage Data
In addition to direct submissions, we automatically gather technical Use Data when visitors access our Site. We utilize cookies and modern analytics tools (including Google Analytics and Ahrefs) to understand website performance and improve user experience.
Use Data may include your device type, IP address, browser type and version, operating system, approximate geographic region, referring URL, pages visited, time spent on pages, and navigation patterns. When Client authorized users log into development or staging environments managed by CloudArk, corresponding technical telemetry is recorded for security and auditing purposes.
3. AI Site Assistant
Our website includes an interactive AI assistant that answers questions about CloudArk's services, capabilities, and technical architecture. When you interact with the assistant:
- What we collect — The text content of the messages you send and the assistant's replies, a one-way cryptographically hashed version of your IP address (we do not store your raw IP address), the country from which your request originated, the page URL you were viewing when you opened the assistant, and exact interaction timestamps.
- How it is processed — Your messages are sent to Google's Gemini API to generate a contextually grounded response. This is executed on a paid commercial API tier, under which your conversation data is never used to train or fine-tune Google's foundation models. Conversation records are securely stored in an encrypted database hosted on Cloudflare infrastructure.
- Why we keep it — To analyze what questions visitors ask, identify operational areas where our website content requires clarification, detect automated abuse, and continually improve our service explanations. Conversations are never used for advertising, behavioral profiling, or commercial resale.
- How long — Conversation records are retained on a rolling window and automatically deleted after 90 days.
- Sensitive information notice — Please do not submit sensitive personal information — such as passwords, banking details, government identification numbers, or confidential health data — into the assistant widget. It is designed as a public inquiry tool, not a secure transmission channel.
- Deletion requests — To request deletion of a specific conversation before the automated 90-day expiry, contact us at support@thecloudark.com with the approximate date, time, and topic of your inquiry.
4. How We Use Information
We use the information we collect for legitimate business and engineering purposes:
Website Information is used to:
- Respond to your direct inquiries, scoping requests, and audit bookings
- Evaluate project feasibility and prepare tailored technical proposals
- Notify you of critical updates regarding our services or policies
- Enforce our Site policies and protect against fraudulent or unauthorized activity
Services Information is used to:
- Build, test, deploy, monitor, and maintain custom automations and web applications

5. Email Correspondence & Communications
When you provide your email address to CloudArk, we use it solely to respond directly to your inquiries, schedule discovery sessions, deliver proposal documents, and communicate regarding active client engagements.
CloudArk does not send unsolicited marketing blasts, bulk automated email campaigns, or third-party partner advertisements. All email communications originate from direct business relationships or specific inbound requests.
6. Do Not Track Signals
Some web browsers transmit "Do Not Track" (DNT) signals to websites with which the browser communicates. Because there is currently no uniform industry standard for interpreting DNT signals, CloudArk does not alter its data collection practices upon receiving a DNT signal, except as required by applicable data privacy regulations.
7. Sharing of Information & Sub-processors
We do not sell, rent, or trade your personal information. We share information only with trusted third-party service providers and sub-processors necessary to operate our website, run our infrastructure, and deliver our services.
Sub-processors
The table below lists the primary third-party infrastructure and software sub-processors currently utilized by CloudArk:
| Processor | Purpose & Data Handling |
|---|---|
| Cloudflare, Inc. | Global CDN, edge DNS routing, DDoS mitigation, website hosting, and serverless database storage for AI assistant logs. |
| Google LLC — Gemini API | Generates AI assistant text responses. Processed under enterprise API terms with zero data retention for model training. |
| Google LLC — Google Analytics 4 | Website performance measurement and traffic analysis; sets analytical cookies and processes truncated IP addresses. |
| Ahrefs Pte. Ltd. | Cookieless web traffic telemetry and search performance analytics. |
Other Disclosures: We may disclose information if required to do so by law, subpoena, or court order, or if we have a good faith belief that disclosure is reasonably necessary to (a) comply with legal process, (b) protect the safety, rights, or property of CloudArk, our clients, or the public, (c) investigate and prevent security threats or system abuse, or (d) in connection with a corporate reorganization, merger, or asset sale.
8. International Data Transfers
CloudArk is based in the United States. If you access our Site or engage our Services from the European Union, European Economic Area, United Kingdom, Switzerland, or other jurisdictions with comprehensive data protection laws, please note that your information will be transferred to, processed, and stored in the United States.
Where cross-border transfers of personal data occur under European data protection legislation (including GDPR and UK GDPR), CloudArk implements recognized transfer mechanisms, including Standard Contractual Clauses (SCCs), to safeguard your data rights.
9. Security Safeguards
We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, destruction, loss, or alteration. These measures include TLS/HTTPS encryption in transit, strict access control, tokenized API authentication, isolated staging environments, and encrypted database storage.
However, no transmission over the Internet or electronic storage method is 100% secure. While we strive to protect your personal data using robust industry standards, we cannot guarantee absolute security against all emerging threats.
10. Unauthorized Use & Child Privacy
Unauthorized attempts to circumvent security controls, inject malicious scripts, scrape site data via automated means, or misuse our API endpoints are strictly prohibited.
Our Site and Services are designed exclusively for commercial businesses and adults aged 18 and older. We do not knowingly collect personal information from children under the age of 13. If we discover that a child under 13 has submitted personal information to our Site, we will promptly take steps to delete that information.
11. Third-Party Links & External Services
Our Site may contain links to external websites, platforms, and SaaS applications (e.g., LinkedIn, X, client systems). This Privacy Policy applies solely to information collected by CloudArk. We are not responsible for the privacy practices or content of third-party websites. We encourage you to review the privacy policies of any external site you visit.
12. Privacy Policy Updates
We may update this Privacy Policy from time to time to reflect changes in our technology, legal obligations, or service offerings. When revisions occur, we will update the "Last updated" date at the top of this page. For significant modifications affecting client data handling, we will provide direct notice via email to active client contacts. Continued use of the Site or Services following the posting of changes constitutes acceptance of the revised policy.
